Client invitations

Seated With Love invites a couple or event host into their client portal by email, chases the invitation for you while it waits, and shows the venue who has accepted.

What it does

  • Invites a couple or event host into their portal with an email and a sign-in link.
  • Chases the invitation for you, resending a reminder every five days while it is still waiting.
  • Shows you where each invitation stands, so you know who is in and who has not opened it.
  • Expires an unused invitation after 30 days, and shows it as expired rather than leaving you guessing.
  • Lets you remove an invitation that went to the wrong address.
  • Invites the same person to more than one event, including several at your own venue.

How it works

  1. Enter their email address

    Open the event, go to Invitations, and enter the email address for the couple or event host.

  2. Send it

    They get an email with a sign-in link that takes them straight into the portal for that event.

  3. Let the reminders do the chasing

    While the invitation is still waiting, a reminder goes out every five days on its own. You do not have to keep a list of who to follow up with.

  4. Watch it land

    The invitation shows as pending, accepted or expired, so a glance at the event tells you whether your client is actually in.

  5. Fix it if it went wrong

    Sent it to the wrong address? Remove that invitation and send a new one.

Common questions

How do couples get access to a venue's client portal?

The venue invites them. There is no public sign-up, so a portal only ever opens because the venue sent an invitation. In Seated With Love the venue enters the client's email address on the event, and that person gets a sign-in link straight into the portal for that booking.

Does Seated With Love send client invitations?

Yes, on both the free and the Pro plan. You enter an email address for the couple or event host and Seated With Love sends the invitation, then keeps chasing it for you while it is unanswered.

How long does a client invitation stay active?

Thirty days from the day it is sent. After that it shows as expired, and you send a fresh one. The window exists so an old invitation link cannot be used months later by anyone who still has the email.

What happens if a client does not accept their invitation?

A reminder is re-sent every five days while the invitation is still waiting, without you doing anything. It stops as soon as they accept or the invitation expires, and the event shows you which of those happened.

Can I see who has accepted their invitation?

Yes. Every invitation shows as pending, accepted or expired on the event it belongs to, so you can tell at a glance which clients are actually in their portal.

What if I send an invitation to the wrong email address?

Remove that invitation from the event and send a new one to the right address.

Can the same person be invited to more than one event?

Yes, including several events at the same venue. Each event has its own portal, so somebody planning two events with you keeps them completely separate and reaches each one from its own invitation.
