What it does
- Gives every couple or event host one place to plan, opened by an invitation from the venue.
- Carries the venue's colors and logo, so it reads as the venue's own space.
- Holds the client's website, guest list, floor plan, seating chart, questionnaires, documents and messages together.
- Shows a client only what applies to their event, so nobody navigates around empty screens.
- Opens on whichever section matters first, rather than a landing page they have to click past.
- Works for the other events a venue hosts, not only weddings.
How it works
-
Create the event
Add the booking in your dashboard and pick its event type. That creates the client workspace and decides which sections belong in it.
-
Set your colors once
Your logo and colors are set for your organization, not per client, so every portal you ever open already looks like your venue.
-
Set the event up
Turn on wedding websites, assign a floor plan for them to choose from, allow floor plan editing if you want it, and attach a questionnaire. What you set up is what appears in their portal.
-
Invite the client
Enter their email address and send the invitation. The couple or event host gets a sign-in link that takes them straight into the portal for their event.
-
They plan, you watch it fill in
Their guest list, seating chart, questionnaire answers and website all land back in your dashboard as they work, so you are never waiting on an email to know where things stand.
What's included
| Website | The couple builds their wedding website from a designed template, fills in their own details, and publishes it. Available when wedding websites are on for the event. |
|---|---|
| Guests | Their full guest list with households and plus ones, imported from a spreadsheet or added by hand, and their RSVP replies as they arrive. |
| My Registry and Add Gifts | Their gift registry, built by pasting product links, browsing a prebuilt catalog, copying a ready-made starter registry, or using the browser extension while shopping. |
| Choose Floor Plan | The layouts you have offered them, so they pick the room setup rather than describing one to you. |
| Manage Floor Plans | Moving tables inside the room you drew. Floor plans are locked to your team by default, and this appears once you switch editing on for that event. |
| Questionnaire | Your planning forms, with the questions you set, answered in their own time and visible to your team the moment they save. |
| Seat Your Guests | Dragging named guests onto seats at your tables, with more than one version of the arrangement kept until one is marked final. |
| Documents | Contracts, timelines, vendor lists and setup notes you have uploaded, open to them at any hour without asking you to resend anything. |
| Communication | Messaging with your team inside the portal. On by default, and you can switch it off for a client. |
| Preferred Vendors | The photographers, florists and caterers you recommend, in front of the client at the moment they are choosing. |
| Venue branding | Your logo and colors across the whole portal, set once for your organization. |
| Bookmark prompt | A prompt on the first visit asking the client to bookmark the portal, so they can find their way back without hunting for the invitation email. |

Common questions
What is a client portal for a wedding venue?
It is a private workspace a venue opens for each client after they book, holding the planning tools and the venue's own information in one place instead of scattered across email. In Seated With Love the client portal carries the venue's colors and logo, and holds the website, guest list, floor plan, seating chart, questionnaires, documents and messages for that single event.
Does Seated With Love include a client portal?
Yes, on both the free and the Pro plan. The venue creates the event, sets it up, and sends an invitation. The couple signs in and plans from there, and everything they do appears back in the venue's dashboard.
What can couples and event hosts do in the portal?
Depending on how the venue has set up the event, a couple or event host can: build and publish their wedding website, manage their guest list and RSVPs, build a gift registry, choose or rearrange a floor plan, seat their guests, answer the venue's questionnaires, read documents the venue has shared, message the venue, and see the venue's preferred vendors.
Does the portal use the venue's branding?
Yes. The venue sets its logo and colors once for its organization, and every client portal it opens uses them. Couples plan in a space that looks like the venue rather than like a third-party tool.
How does a couple or event host get into their portal?
The venue enters their email address and sends an invitation, and they get a sign-in link straight to the portal for their event. Invitations are valid for 30 days, and a reminder is re-sent every five days while one is still waiting.
Can one person have portals with more than one venue, or for more than one event?
Yes. Access is granted per event, so somebody planning two events, or working with two venues on the platform, has a separate portal for each and reaches it from that event's own invitation.
Does the portal work for events other than weddings?
Yes. A venue can create an event as a corporate event, gala, shower, birthday, celebration of life and more, and the wording follows the event type. Those portals center on floor plans, seating, documents, questionnaires, messaging and preferred vendors. The wedding website and the gift registry are the parts built specifically for weddings.
What does a client see the first time they open the portal?
The portal opens on the section that matters first for their event, checked in this order: their website, then messaging, then choosing a floor plan, then editing one, then seating their guests. On the first visit it also asks them to bookmark the page.
