Event notes

Seated With Love gives every event a private notes page for the venue team, plus a note for each vendor working it, with each teammate's writing shown in their own color.

What it does

  • Keeps one notes page per event that only your team can open.
  • Gives every vendor working an event its own note for that event, next to their contacts and paperwork status.
  • Formats notes like a document, with headings, lists, checklists, quotes and links, rather than one long text box.
  • Shows who wrote each part, with each teammate's text tinted in their own color and their name a tap away.
  • Numbers every line, so "see line 12" means the same thing to everyone on the team.
  • Saves on its own the moment you click away, with nothing to press.

How it works

  1. Open the event

    Go to the event in your venue dashboard. Notes lives on the Overview tab, open and ready to write in.

  2. Write the event notes

    Timeline changes, client requests, what to remember on the day. Use headings, lists and checklists, and it saves when you click away.

  3. Add a note for each vendor

    On the Vendors tab, put the vendors working this event on it, then open the notes on any vendor card for things like arrival times and who to call.

  4. See who wrote what

    Each teammate's text is tinted in their own color, with their names listed under the notes. Tap any tinted text to see who wrote it.

  5. Keep it tidy

    Collapse the notes you are not using, and switch the colors off if you only want to read. Your choice is remembered on that device.

What's included

Event notes One notes page per event, on the Overview tab. It opens ready to read, so the latest notes are the first thing staff see.
Vendor notes A separate note for every vendor on an event, on that vendor's card on the Vendors tab. Each one collapses, so a long vendor list stays easy to scan.
Formatting Text and three heading sizes, bold, italic, underline and strikethrough, bulleted, numbered and checklist lists, quotes, dividers, links, and undo and redo. Typing #, - or [ ] at the start of a line starts a heading, list or checklist.
Who wrote what Each teammate's writing is tinted in a color of their own, the same color every time. Their names are listed under the notes, and tapping tinted text shows who wrote it.
Colors on or off One switch hides every color and shows them again, across the event notes and the vendor notes together. The choice is remembered on that device, and nobody's writing is lost while the colors are off.
Line numbers Every line is numbered in the margin, blank lines included, so you can see where the notes end and point a teammate to an exact line.
Saving Notes save when you click away, and a Saved label confirms it. If a save does not go through, what you typed stays on screen and saves on your next click away.
Length Up to 20,000 characters of text in each note. Formatting does not count toward that.
Private to your team Notes are for venue staff. They are never shown in a client portal, on a wedding website or on any public page.
Tidy removal Taking a vendor off an event removes that vendor's note for the event, and deleting an event removes all of its notes. The vendor stays in your vendor lists.
Any event type Notes work the same on weddings, corporate events, galas, showers and every other event type.

What are event notes for a venue team?

Event notes are a shared place for a venue's staff to record what they need to know about one booking: timeline changes, client requests, vendor arrival times and reminders for the day. In Seated With Love every event has its own notes page, plus a separate note for each vendor working it.

Does Seated With Love let my team keep private notes on an event?

Yes, on both the free and the Pro plan. Every event has a notes page on its Overview tab and a note for each vendor on its Vendors tab. Only venue staff can see them.

Can the couple or event host see our notes?

No. Event notes and vendor notes in Seated With Love are for venue staff only. They are never shown in the client portal, on a wedding website or on any public page.

How do I know which teammate wrote something in the notes?

Each teammate's writing is tinted in their own color, and their names are listed under the notes. Tap any tinted text to see the name of the person who wrote it. The colors can be switched off for easier reading and back on at any time.

Can two people edit the same note at the same time?

The notes are not a live co-editing document. Each person's changes save when they click away, and the most recent save is the one kept, so it works best when one person edits a given note at a time.

Do event notes work for events other than weddings?

Yes. Every event type in Seated With Love has the same notes page and vendor notes, from weddings to corporate events, galas and celebrations of life.
