What it does
- Gives every booking one workspace, so nothing about an event lives in somebody's inbox.
- Records what the event actually is: its type, its date, and its start and end times across more than one day if it runs that way.
- Assigns your venue staff to the events they are working, so each booking has its own team.
- Decides per booking what the couple or event host can reach in their portal.
- Keeps the documents, questionnaires and floor plans for that event with the event.
- Shows you where the client has got to, from an invitation still waiting to a seating chart marked final.
How it works
-
Add the booking
Create the event and choose its type. Weddings, corporate events, galas, showers and celebrations of life all work here, and the wording across the venue dashboard and the client portal follows the type you pick.
-
Set the dates
Give it a date, a start time and an end time. An event that runs across more than one day takes an end date too, and it shows on your calendar for its full span rather than as a single point.
-
Choose what the client can do
Decide per booking whether they get a wedding website, whether they can edit the floor plan, and whether they can message your team. Those choices shape what appears in their portal.
-
Put your team on it
Assign the venue staff who are working this event. You can change who is on it at any point.
-
Invite the client
Send the invitation from the workspace. You can see whether it is still waiting, has been accepted, or has expired, without guessing whether the email arrived.
-
Work from one place
Documents, questionnaires, floor plans and the conversation all live in this workspace, so the answer to any question about the event is in one screen.
What's included
| Overview | The event at a glance: type, dates, times, and where the client has got to in their planning. |
|---|---|
| Event type | One of eighteen types, from Wedding through Corporate Event, Gala, Bar and Bat Mitzvah, QuinceaƱera and Celebration of Life. The type changes the wording your client sees. |
| Dates and times | A start date and time, and an optional end date and time, so a weekend-long event is one booking rather than three. |
| Team | The venue staff assigned to this event. Assign whoever is working it, and change that at any time. |
| Invitations | The invitation to the couple or event host, with its current state: waiting, accepted or expired. Reminders go out on their own while one is still waiting. |
| Documents | Contracts, timelines, vendor lists and setup notes for this booking, uploaded once and readable by the client whenever they need them. |
| Questionnaires | The planning forms assigned to this event, with the answers as they come in. An event can carry more than one. |
| Floor plans | Every layout for this event. A booking can hold more than one, so a ceremony setup and a reception setup sit side by side. |
| Website settings | Whether this booking gets a wedding website, and the address it publishes to. |
| Communication | Messaging with the client for this event, which you can switch off for a booking that does not need it. |
| Client portal address | Each event has its own portal address, so a client working with you on two events keeps them entirely separate. |

Common questions
What is wedding venue client management software?
It is where a venue keeps everything connected to a booking after the contract is signed: the dates, the people responsible, the paperwork, the layout and the conversation with the client. In Seated With Love each booking is its own workspace, and the couple or event host gets a matching portal they plan in.
Does Seated With Love keep each booked event separate?
Yes. Every booking has its own workspace and its own client portal address, with its own dates, staff, documents, questionnaires and floor plans. Somebody working with you on two events sees two entirely separate portals.
Can different staff be assigned to different events?
Yes. Venue staff are assigned per event, so each booking has its own team rather than everyone being attached to everything.
Can an event run across more than one day?
Yes. A booking takes a start date and time and an optional end date and time, so a rehearsal on Friday and a reception on Saturday are one event rather than two records, and it shows on the venue calendar for its full span.
Can one event have more than one floor plan?
Yes. A booking holds as many layouts as it needs, so a ceremony setup, a cocktail hour and a reception can each have their own plan inside the same event.
Can I control what each client is able to do?
Yes, and it is set per booking rather than across the whole venue. You choose whether that client gets a wedding website, whether they can edit the floor plan, and whether they can message your team. What you enable is what appears in their portal.
Does this work for events other than weddings?
Yes. A booking can be a corporate event, gala, shower, birthday, reunion, celebration of life and more, and the wording throughout follows the type you choose. The wedding website and the gift registry are the parts built specifically for weddings.
How many events can I run at once?
The free plan runs 1 active event at a time, which is enough to try the platform on a real booking. Pro runs 300, which covers a full calendar for most venues.
