What it does
- Holds the files for a booking with that booking, rather than in an email thread from four months ago.
- Takes whatever you need to share: contracts, timelines, vendor lists, parking passes, setup notes, floor plan printouts.
- Puts them in the client portal, open to your client at any hour without them asking you.
- Shares them through private links rather than public ones, so a file cannot be forwarded and left open on the internet.
- Gives every booking a Documents section from the start, ready for you to upload that client's files into.
How it works
-
Open the booking
Go to the event the file belongs to. Documents are stored per event, so the contract for one wedding never turns up under another.
-
Upload the file
Add the contract, timeline, vendor list, parking pass or setup notes. Any file type works, and you can upload as many as the booking needs.
-
Your client reads it whenever
It appears in the Documents section of their portal straight away. They can open it at midnight the week of the event without emailing you first.
-
Clear out what is finished
Remove a document that has been superseded, so your client is only ever looking at the current version.
What's included
| Per event | Files belong to one booking. Each event has its own set, so nothing from one wedding is visible to another. |
|---|---|
| Any file type | PDFs, images, spreadsheets, documents. There is no restricted list, so whatever your contract or timeline is already saved as will upload. |
| Private links | Documents are not public URLs. The portal builds a fresh, time-limited link each time one is opened, so a file that gets forwarded does not stay readable on the open internet. |
| Ready on every booking | Every client portal has a Documents section from the day it opens, with nothing for you to enable. You choose what goes into each one, so a client sees the files you uploaded for their event and nothing else. |
| Open at any hour | Your client reads them from their portal whenever they want, so the question "can you resend that?" stops arriving. |
| Remove a file | Delete a document once it is out of date, so the version your client sees is the current one. |
| Any event type | Weddings, corporate events, galas and everything else share files the same way. |

Common questions
What is document sharing software for a wedding venue?
It is one place for the files tied to a specific booking, reachable by the client without them asking for a resend. In Seated With Love the venue uploads to the event, and the couple or event host opens those files from the Documents section of their portal.
Does Seated With Love include document sharing?
Yes, on both the free and the Pro plan. Every event has a Documents section ready to use, with nothing to switch on, and you upload the files for each booking yourself.
What kinds of files can a venue share?
Contracts, timelines, vendor lists, parking passes, setup instructions, printed floor plans, anything a client needs. There is no restricted file type, so whatever format the file is already in will upload.
Are documents kept separately for each event?
Yes. A file belongs to the booking it was uploaded to. Each event has its own set, and nothing from one client is visible in another client's portal.
Are shared documents private?
Yes. They are not public web addresses. Each time a document is opened from the portal, a fresh time-limited link is generated for it, so a link that gets forwarded on does not stay readable indefinitely.
Can I remove a document once it is out of date?
Yes. Delete it from the event and it disappears from your client's portal, so the version they are looking at is always the current one.
Does document sharing work for events other than weddings?
Yes. Every event type shares files the same way, so a corporate booking or a gala keeps its paperwork with the event exactly as a wedding does.
