What it does
- Tells the staff on a booking when its floor plan has been edited, so a layout change is never a surprise on the day.
- Tells them when a seating chart has been marked final, which is usually the signal that setup can be planned.
- Tells them when a client has created their wedding website.
- Sends a digest when questionnaire answers come in, rather than one email per question.
- Goes only to the staff assigned to that booking, so nobody is copied on events they are not working.
- Lets your organization switch each alert off if it is not useful to you.
How it works
-
Assign your team to the booking
Notifications follow the staff assignment on each event. Whoever is on the booking is who hears about it.
-
Choose which alerts you want
Floor plan edited, seating chart marked final and website created each have their own switch for your organization. Questionnaire answer digests have their own too.
-
Carry on with your day
Your client keeps planning in their portal. Changes are collected and sent out about every half hour, so you get a short summary rather than a stream of alerts as somebody drags tables around.
-
Act on what arrives
The email tells you which booking changed and what happened, so you can open that event if it needs you and ignore it if it does not.
What's included
| Floor plan edited | Sent when a client changes the layout for their event. This is the one that stops a room being set to a plan the couple revised two weeks ago. |
|---|---|
| Seating chart marked final | Sent when a client settles their seating. Usually the point at which your team can print and plan setup. |
| Wedding website created | Sent when a client builds their website, so you know the booking is moving. |
| Questionnaire answers | A digest of new answers, grouped by booking. Ten answered questions produce one email, not ten. |
| Sent to assigned staff only | Every one of these goes to the people assigned to that booking. A coordinator working Saturday is not copied on Sunday. |
| Your own switches | Each alert has its own on and off setting for your organization, so you keep the ones that are useful and drop the rest. |
| Batched, not instant | Changes are gathered and sent about every half hour. You get a usable summary instead of a notification for every small edit. |
| Sent from Seated With Love | These emails come from us, never from your venue name, because the recipients are your own team. Your branding is for your clients, not for your staff inbox. |

Common questions
What notifications does a wedding venue get from Seated With Love?
Four: a floor plan was edited, a seating chart was marked final, a client created their wedding website, and new questionnaire answers have come in. They arrive by email, so nobody has to be logged in for them to be useful.
Who receives these notifications?
Only the staff assigned to that booking. Assignment is set per event, so a coordinator hears about the events they are working and not about anyone else's.
Can a venue choose which notifications it gets?
Yes. Each alert has its own on and off setting for your organization, so you can keep floor plan changes and turn off the rest, or any combination that suits how your team works.
Are notifications sent the moment something changes?
They are gathered and sent about every half hour. That is deliberate: a client rearranging tables for ten minutes produces one summary rather than a run of emails, and questionnaire answers arrive as a digest per booking.
Who do the notification emails come from?
From Seated With Love, not from your venue name. These go to your own team rather than to a client, so there is nothing to gain from branding them, and it keeps them easy to filter in a busy inbox.
Do couples get notified about anything?
Yes. When a guest party responds to their RSVP, the couple is emailed a heads-up naming who replied and whether they are attending. The guests' actual answers, such as meal choices, stay in the portal and the email links there.
Do notifications work for events other than weddings?
Yes. Floor plan, seating and questionnaire alerts apply to every event type a venue hosts, in exactly the same way.
