Seated With Love

Client portal and workflow

Client messaging

Seated With Love gives every booking its own conversation inside the client portal, so a venue and its client talk in the place the planning already lives instead of in an email thread.

What it does

  • Gives each booking its own conversation, so a question about one event never lands in the wrong thread.
  • Keeps the conversation where the planning is, next to the floor plan and the questionnaire it is about.
  • Puts more than one member of your team in it, so an answer does not wait for one person to come back from leave.
  • Emails whoever has not read a message after about an hour, so nobody has to sit in the portal waiting.
  • Works on a phone as well as a desktop, which is where most clients will reply from.
  • Is on from the moment a booking is created, and can be switched off for a client who does not need it.

How it works

  1. It is already there

A conversation is created with the booking. Messaging is on by default, so there is nothing to set up before your client can reach you.

  2. Add whoever should be in it

More than one person from your team can be in a booking's conversation, so cover does not depend on a single inbox. You can see who is in it at any time.

  3. Talk where the work is

Messages sit alongside that event's floor plan, documents and questionnaires, so "which layout did we agree?" is answered a click away rather than by searching an inbox.

  4. Let email do the chasing

If a message goes unread for about an hour, the person it is waiting on gets an email. Neither side has to keep the portal open to stay responsive.

  5. Switch it off if it does not suit

Some venues would rather keep clients on email. Turn Communication off for a booking and the tab simply does not appear in that client's portal.

What's included

What is included with Client messaging
One conversation per booking Each event has its own thread. Nothing about one wedding is visible in another client's conversation, and the history stays with the booking it belongs to.
Your team, not one person Several staff can be in a booking's conversation, and the members list shows who. A client is not stuck waiting on whoever happens to be on holiday.
Unread message emails If a message has not been read after about an hour, the recipient is emailed that one is waiting. It applies in both directions.
On by default Messaging is available the moment a booking is created, so nothing has to be enabled before a client can use it.
Off per booking Switch it off for a client who does not need it and the Communication tab does not appear in their portal.
Phone and desktop The conversation works the same on a phone as on a computer, which matters because clients answer in the evening from wherever they are.
Any event type Weddings and every other event a venue hosts get the same conversation.

Works with

Common questions

What is client messaging for a wedding venue?

It is a conversation between the venue and its client that lives with the booking rather than in an email chain. In Seated With Love every event has its own thread inside the client portal, next to that event's floor plan, documents and questionnaires.

Does Seated With Love include messaging with clients?

Yes, on both the free and the Pro plan, and it is on from the moment a booking is created. There is nothing to enable before a couple or event host can message you.

What happens if nobody reads a message?

After about an hour, whoever the message is waiting on gets an email telling them one is there. It works in both directions, so neither your team nor your client has to keep the portal open to stay responsive.

Can more than one person from the venue be in the conversation?

Yes. Several staff can be in a booking's conversation and you can see who is in it, so an answer does not depend on one person being at their desk.

Can a venue turn messaging off for a particular client?

Yes, per booking. Switch it off and the Communication tab does not appear in that client's portal, which suits venues that would rather keep some clients on email.

Is each client's conversation private?

Yes. A conversation belongs to one booking, so nothing said about one event is visible to another client, and the history stays attached to the event it is about.

Does messaging work for events other than weddings?

Yes. Every event type gets its own conversation in exactly the same way.
